WACRM is a full-featured WhatsApp Business CRM built for small businesses and organizations. It helps you manage customer conversations, run marketing campaigns, track deals through a sales pipeline, and automate follow-ups — all powered by the official WhatsApp Business API.

WACRM is designed for small business owners, startup founders, freelancers, coaching institutes, real estate agents, healthcare clinics, and any organization that relies on WhatsApp for customer communication. If you talk to customers on WhatsApp, WACRM is for you.

The free WhatsApp Business App is limited to a single device and basic features. WACRM uses the official WhatsApp Business API which supports multiple team members, automated campaigns, CRM pipelines, analytics, AI-powered replies, and much more — all from a professional web dashboard.

WACRM is currently in beta testing. You can request early access through our Early Access form and our team will prioritize your onboarding.

WhatsApp Business API

The WhatsApp Business API is an official interface provided by Meta that allows businesses to send and receive WhatsApp messages at scale. Unlike the consumer app, it supports automation, integrations, multi-agent access, and template-based messaging for notifications and marketing.

You need: (1) A verified Facebook Business account, (2) A phone number not already registered with WhatsApp, (3) A Meta Business Manager account, (4) Business verification completed on Meta. WACRM guides you through each step during onboarding.

During setup, you will: (1) Create a Meta Business account if you don't have one, (2) Register your phone number via the WhatsApp Cloud API, (3) Generate a permanent access token from Meta Developer portal, (4) Enter the Phone Number ID, Business Account ID, and Access Token in WACRM's settings page. Our support team assists with every step.

Meta charges per-conversation fees based on the type of conversation (marketing, utility, authentication, or service). The first 1,000 service conversations per month are free. WACRM does not add any markup — you pay Meta's rates directly. See our Payment Terms page for detailed pricing.

Templates & Approval

Message templates are pre-approved message formats that you can use to initiate conversations with customers. They are required by Meta for outbound messages (marketing, notifications, alerts). Templates can include text, images, videos, documents, buttons, and dynamic variables like customer name or order number.

In WACRM, go to Settings → Templates, click "Create Template", choose a category (Marketing, Utility, or Authentication), write your message with variables like {{1}}, {{2}}, provide sample values, and submit. WACRM sends the template to Meta for review. Approval typically takes minutes to 24 hours.

Common rejection reasons include: (1) Using promotional language in a utility template, (2) Missing opt-out option in marketing templates, (3) Vague or generic content, (4) Content that violates WhatsApp Commerce Policy, (5) Incorrect variable formatting. Review Meta's template guidelines and resubmit with corrections.

Yes! WACRM supports dynamic variables in templates using the {{1}}, {{2}} format. When sending a campaign, you map these variables to customer data fields like name, order ID, appointment date, etc. This allows personalized messaging at scale.

Twilio & Voice Calling

WACRM integrates with Twilio to provide voice calling (outbound and inbound) and SMS messaging. You can make calls directly from the CRM dashboard, log call notes, and track call history alongside WhatsApp conversations for a unified communication view.

You can purchase a Twilio phone number directly from WACRM's Settings → Phone Numbers page. Choose from local, toll-free, or mobile numbers available in your country. The number is instantly provisioned and ready for calling and SMS.

Voice calling is billed per minute by Twilio at their standard rates. India local calls typically cost ₹0.50–₹1.50/min. International rates vary by country. WACRM passes through Twilio's pricing without markup. See our Payment Terms page for details.

Yes! Once you have a Twilio phone number configured, WACRM can route incoming calls to your team. Call logs and recordings are automatically linked to the customer's profile in the CRM for complete communication tracking.

AI Features

WACRM offers AI-powered smart reply suggestions using Google Gemini and Microsoft Copilot. When viewing a customer conversation, the AI analyzes the context and suggests relevant, professional replies that you can send with one click or edit before sending.

AI suggestions are generated based on conversation context and are generally helpful for common queries. However, they are provided "as-is" and may not always be perfect. You should always review and validate AI-generated content before sending it to customers.

Conversation context is sent to Google's and/or Microsoft's API for processing when you explicitly request AI suggestions. These providers process the data according to their respective privacy policies. AI features are optional and can be disabled in settings.

AI reply suggestions are available on the Pro plan (₹2,999/month) and Enterprise plan (₹9,999/month). Free and Starter plans do not include AI features.

Pricing & Plans

WACRM offers four plans: Free (₹0 — 1 user, 100 contacts), Starter (₹999/month — 3 users, 1,000 contacts), Pro (₹2,999/month — 10 users, 10,000 contacts, AI features), and Enterprise (₹9,999/month — 999 users, unlimited features). All prices exclude GST.

Yes! The Free plan is always available at no cost with no credit card required. It includes core features like pipeline management, analytics, follow-ups, and email integration. You can upgrade anytime as your needs grow.

Paid plans are billed monthly. Payments are processed securely through Razorpay. You can upgrade, downgrade, or cancel your plan at any time. WhatsApp API and Twilio calling costs are billed separately based on usage.

No hidden fees for the WACRM platform itself. However, WhatsApp Business API conversations and Twilio voice/SMS usage are charged separately by Meta and Twilio respectively at their standard rates. We provide full transparency on our Payment Terms page.

Security & Privacy

Yes. WACRM is hosted on Microsoft Azure with enterprise-grade security. All data is encrypted at rest and in transit (TLS 1.2+), passwords are hashed with bcrypt, and we use JWT-based authentication with token expiration. Each tenant's data is logically isolated.

WACRM is designed to comply with India's Digital Personal Data Protection Act, 2023 and GDPR where applicable. We do not sell, rent, or share your data with third parties for marketing purposes. You can export or delete your data at any time.

Yes. WACRM provides data export functionality for customers, conversations, campaign data, and pipeline information. You retain full ownership of all data you submit to the platform.

Team & Support

On Pro and Enterprise plans, you can invite team members with role-based access. Agents can be assigned to specific conversations, workloads are balanced across the team, and managers can monitor all conversations and performance metrics from the analytics dashboard.
